🏌️‍♂️ Guidance for Tournament Organisers — Running a Qualifying Competition and Posting Scores to CDH

Purpose

This note explains the key steps required to:

  1. Download course information for a qualifying competition, and
  2. Post scores back to the Scottish Golf Central Database of Handicaps (CDH) through your Independent Software Vendor (ISV) system.

1️⃣ Understanding the Process

  • The system used to manage qualifying competitions and score uploads has been successfully operating in Wales, England, and Ireland for over 5 years.
  • Each ISV (e.g. ClubV1, IntelligentGolf, DotGolf, etc.) may look slightly different, but the underlying process is the same.
  • Your ISV provider should be familiar with these steps and can guide you through their specific screens or buttons.

2️⃣ Key Requirement — The MarkerUID

  • Every score posted to the CDH must include a markerUID (a unique ID for the marker).
  • This markerUID can only be obtained by making a call to the WHS database of markers.
  • That call is only possible after the host venue has granted permission for access.

3️⃣ Clarifying “Course Approval”

The term course approval can cause confusion — it actually involves two separate actions:

  1. Host Venue Approval – The host club confirms permission for the event to access its course data.
  2. Calling Marker Details – Once approved, the organiser downloads the list of active markers from the WHS platform.

4️⃣ Step‑by‑Step Summary

Info
StepActionDescription
1Create the tournamentThe organiser (e.g. SVLGA) sets up the event in their competition software, selecting dates and the host club.
2Request host venue approvalThe system sends a message to the host club asking them to approve the event. The club accepts or declines.
3Host club acceptsOnce accepted, Scottish Golf can see this approval in DotGolf, and the organiser can now call the marker list.
4Download marker detailsThe organiser retrieves the full set of active markers from the WHS platform for that club.
5Select marker for eventThe organiser chooses which marker will be used for the tournament.
6Run the event and post scoresAfter play, scores are uploaded through the ISV software. The markerUID is automatically included, allowing successful posting to CDH.

5️⃣ Important Reminders

  • There is no such thing as “course approval” — only host venue approval.
  • The marker list must be downloaded before the event date; it cannot be called afterwards.
  • Once host venue approval is granted, the full marker set becomes available for download.
  • If you’re unsure how to call the marker set, contact your ISV provider — they will know the correct steps.

✅ Key Takeaway

To run a qualifying competition and post scores successfully to CDH, organisers must:

  1. Obtain host venue approval,
  2. Download the marker list in advance, and
  3. Ensure scores include a valid markerUID when posted.
